Belgium Visit Visa Checklist

VISA NOTES & FEES

1. Passport: Original Passport with validity of minimum three months and minimum two blank page for visa stamp.
a) Copy of first and last page of the passport
Please Note:
a) Passports issued beyond 10 years will not be accepted by the Embassy
b) Handwritten passports will not be accepted.
c) Indian Passports can only be accepted if their bio data (name, date of birth, place of birth & sex) have not been modified by an "observation". However, observation regarding the validity of the passport or any observation on the last page is acceptable.
d) Attach all your old passports (if any)
2. Schengen Visa Application Form: Visa application form must be filled online https://visaonweb.diplomatie.be/ . Post filling the form, 2 printout has to be taken and duly signed by the applicant on column 37 and main column.
The following form also need to be duly filled, signed and submitted along with the application a) Letter of Gurantee
Please note : Applicant mobile number & Email Id should be mentioned in visa form as Embassy / Consulate can contact the applicant at any point of time during visa processing
3. Photo Specification: Two recent passport size photographs with matt or semi matt finish, 60%-80% face coverage, white background and without border (Size: 35mm x 45mm)
Please note: Photograph should not be more than 3 months old,scanned/stapled and should not be used in any of the previous visas.
4. Covering Letter : Covering-letter from applicant on company’s letter head stating his name, designation,passport number, purpose and duration of visit, duly signed by authorized signatory and addressed to – The Consulate General of Belgium, Mumbai.
5. Invitation Letter: A letter of guarantee (in the prescribed form “Annexe 3bis”/“Bijlage 3bis” - French - Flemish) by a guarantor permanently residing in Belgium or of Belgian nationality (in case he/she is NOT residing in Belgium).
This document can be obtained from the guarantor’s municipality (or a Belgian mission abroad) where it has to be certified. It is valid for 6 months after its issue.
6. Family visit (mother, father, brother, sister, in-laws): the guarantor must earn at least € 800 net/month + €150 for each of the guarantor's current dependents and/or + € 150 for each person invited.
Friends visit: the guarantor must earn at least € 1.000 net/month + € 150 for each of the guarantor's current dependents and/or + € 200 for each person invited.
7. Official proof of sufficient solvency of the guarantor:
a) Copy of the guarantor’s 3 most recent salary sheets /guarantor’s most recent tax sheet/ other official proof of the guarantor’s solvency).
Remark: A letter from the bank or deposit account statement will not do.
b) A photocopy of the identity card or the unlimited residence permit of the guarantor.
Remark: A person with a limited residence permit cannot legally act as a guarantor.
c) An original and authenticated Certificate of family composition on the name of the guarantor, issued by his/her municipality in Belgium
d) A photocopy of the Belgian identity card or residence permit of the family member you intend to visit in Belgium
8. Financials
a)Personal ITR for 3 yrs
b)Six months salary slip
c)Personal Bank Statement for last six months mentioning the applicant name and address.
d)Credit Card copy/Foreign Exchange endorsement/Traveler’s Cheque
9. Proof of Occupation
Self Employed:
a) Brief Company Profile
b) Articles of Memorandum (Incase the applicant is MD/Director)
c) Proof of Proprietorship / Partnership (In case applicant is Proprietor / Partner in a firm)
Employed:
a)Proof of employment like Salary Slip or Appointment Letter
b)NOC from Employer
Student:
a)Leave Sanction Letter from school
b)Parents have to provide ITR, Bank statement and NOC letter
10. Hotel Booking: Hotel Confirmation directly from the hotel in Belgium, fax copy directly to the consulate and one copy along with application.
Please Note: Hotel should match the ticket dates and maximum stay should be in Belgium
11. Ticket : Return Confirm Air Ticket
12. Medical : Original Medical travel Insurance for the stay duration amounting to 30,000 Euros. Insurance to be done by the Authorized Insurance Companies
Please Note:
a) Travel insurance policy submitted along with the Belgium visa application must be signed by the insured person on the place reserved for it in the policy document.The insurance policy document will not be considered valid if it is not signed by the insured person and the visa will not be issued.
13. Please Note:
a) You should apply 3 weeks before the scheduled date of departure
b) All submitted documents must be recent
c) VFS will courier the documents to the applicant's residence with an additional cost of Rs.300. Kindly mention the passport dispatch address on the Covering-Letter.
14. New Procedure for Schengen Visa Applications: With immediate effect, Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.
15. IMPORTANT NOTE: As per the new visa application procedure, applicants seeking Belgium visa will have to visit the visa application centre in person to submit their applications as biometric fingerprint data along with a live photograph is required for all the short term applications (Including VIS applications). Live photograph is also mandatory for long term visa applicants and children below the age of 12 years.
