VISA NOTES & FEES
Passport: Original Passport with validity of minimum three months and minimum two blank pages for visa stamps.
a) Copy of first and last page of the passport.
Please note:
a) Passports issued beyond 10 years will not be accepted by the Embassy.
b) Handwritten passport are not accepted.
c) Indian passports with any “observation” will not be accepted.
d) Attach all your old passports (if any).
Schengen Visa Application Form : Two visa application form duly filled and signed by the applicant.
Please note : Applicant mobile number should be mentioned in visa form as Embassy / Consulate can contact the applicant at any point of time during visa processing.
Below Forms must also be filled:
a) WAIVER DECLARATION .
b) Declaration on Travel Health Insurance .

Photo Specification: Two recent passport size coloured photographs with matt or semi matt finish,80% face coverage, white background and without border (Size: 35mm x 45mm)
For Chennai: Two recent passport size coloured photographs with glossy finish,80% face coverage, white background and without border (Size: 35mm x 45mm)
Please note: Photograph should not be more than 3 months old,scanned/stapled and should not be used in any of the previous visas
Covering Letter : Original Covering Letter from applicant on company’s letter head stating his name, designation,passport number, purpose and duration of the visit, duly signed by authorized signatory with company stamp and addressed to – Consulate General of Italy, Mumbai
Please Note: Post visa processing, VFS will courier the passport directly to the applicant at an additional cost of Rs 323. Therefore, it is mandate to mention the complete dispatch address on the covering-letter.
Invitation Letter: Original Letter of invitation from Italian company as per the Sample Invitation Letter , in Italian, signed by the authorized person.
a) Invitation should have a guarantee clause as : The Italian business operator must include a declaration to the effect that he is aware of the nature of penal responsibility he assumes in case the foreigner he has invited, sponsored or guaranteed, violates Italian immigration laws
b) Chambers of commerce registration certificates from the Italian Company with the name of the invitee & the name of the person who has sign the invitation .
c) The invitation letter should be accompanied with a copy of the identity card / passport copy of the person signing the invitation letter.
Financials
a) Personal ITR for the last 3 yrs
b) Personal Bank Statement for last six months.
c) Credit Card copy with recent statements/Original Foreign Exchange endorsement with receipt/Traveler’sCheque
d)Last three months salary slips
Proof of Occupation
a) Company Registration Certificate / Certificate of Incorporation
b) Brief Company Profile
c) Articles of Memorandum (Incase the applicant is MD/Director)
d) Proof of Proprietorship / Partnership (In case applicant is Proprietor / Partner in a firm)
Proof of Accommodation - Hotel Confirmation
Please note: Hotel should match the ticket dates and maximum stay should be in Italy.
Airline Reservation : Ticket Itinerary
Please Note: The travel date mentioned on ticket itinerary should be minimum 10 working days after submission of application
Medical : Original Medical Insurance for the stay duration amounting to 30,000 Euros duly signed and stamped by the insurance company.(Please Note: Policy should for minimum 15 days.)
Please Note :
a) Insurance has to be done by the Authorized Insurance Companies
b) Minimum 10 days insurance is mandatory from the travel date.
Address Proof: Proof of residence is required only for those applicants who are not resident in Mumbai Jurisdiction.Kindly note that the proof of residence should be for more than one year to be qualified to apply in the West and South region in India.
Mandatory Documents:
a) Letter on company letterhead specifying the period he/she has been working with them.
b) Lease agreement (letter from company,if accommodation provided by the company).
c) Bank statement and letter from bank specifying the period since when the account is operating.
d) Electricity Bill,Telephone Bill and Gas Bills
Additional Documents:
a) Pan Card and Income tax challans or Form 16A.
b) Ration card or Election card or Aadhaar card.
New Procedure for Schengen Visa Applications: With immediate effect, Indian citizens travelling to Schengen countries for short-term (max 90 days in 180 days) will have to visit VFS visa application centre personally to provide biometric data (fingerprints and digital photograph). For subsequent applications within next 5 years the biometric data will be copied from the previous visa application included in the VIS.
